Thank you for your interest in Awesome Golf apps and services (“Services”), produced by Great Detail Ltd (“GD” or “we” or “our” or “us”). Great Detail Ltd is a company registered in England and Wales (company number 11523667) with its registered office at 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ. We are the data controller responsible for your personal information.
This Privacy Policy explains how we collect and use personally identifiable information about users (“personal information”) of our Services, the choices available to you, and how you can exercise your rights. Privacy Policy Updates
Due to the rapidly evolving nature of online and mobile services, GD may need to update this Privacy Policy from time to time. If we make revisions that change the way we collect or use your personal information, those changes will be posted in this Privacy Policy, the effective date will be noted at the beginning of this Privacy Policy, and we will ask for your consent to these changes if required by applicable law. GD encourages you to review this Privacy Policy regularly for any changes. Your continued use of our Services and/or continued provision of personal information to us will be subject to the terms of the then-current Privacy Policy.
Information We Collect and How We Use It
When you register for and use the Services, we collect personal information such as your name, email address, password, player display name, date of birth, country, and leaderboard category. We use this information to create and administer your user profile and account, to provide you with access to certain Services and features, to place you in the appropriate leaderboard category, and to determine whether additional protections or parental consent requirements apply to you under the laws of your country (see Children’s Privacy below).
Through your use of our Services, we may use certain profile information (your player display name) to post your activity results and in-game achievements, such as high scores and rankings, to other users of our Services. Where a venue is shown alongside your results, it is limited to the name of the facility; we do not publish precise location coordinates. We may also use your current location to help you identify golf facilities in your area that offer our Services, such as driving ranges and indoor golf venues (“facilities”). At participating facilities, we use the camera on your device to scan a QR code to temporarily link your account with the facility. We do not store or communicate any images captured by your device. Upon your request, we may use your contact details to send you information necessary to access your account, such as password reset information.
Payments
To enter certain contests and to use enhanced features, such as the ability to track your game progress over time, you may be required to purchase our premium Services. All payments are handled entirely by PCI DSS-compliant third-party payment providers (such as Apple, Google, Paddle, and Stripe). GD does not store, process, or have access to your full payment card details or financial information. We receive limited billing information from these providers, such as confirmation of payment, transaction identifiers, and your subscription status, which we use to create your premium account, grant you access to premium Services, and send you your payment confirmation.
Information collected automatically
Through your use of our Services on your mobile device or personal computer, we also use information we collect automatically, such as device type, IP address, operating system, duration of use, pages visited, and error diagnostic data, in order to improve (e.g. analytics) and customise our Services, provide technical support, detect and prevent fraud and violations of GD’s user policies, and send you GD Services specific to your location such as local tournament information. For children’s accounts, this information is used only to support the internal operation of the Services and is not shared with third-party advertising or analytics providers (see Children’s Privacy below).
Communications
If you are a registered user of our Services, we may send you transactional messages about your use of our Services, and you will not be able to opt out of receiving these transactional messages. With your consent, we may send push notifications to your mobile device, including game updates and other relevant messages. You can manage push notifications from the “options” or “settings” pages within the Services and/or from your mobile device’s “settings” page. We do not send marketing communications to children’s accounts (see Children’s Privacy below).
Customer support
When you contact us for support, whether through our website, by email, or via messaging services such as WhatsApp, we collect the information you provide, including your name, contact details (such as the phone number you message us from), and the contents of your communications, together with relevant account information (such as your settings, activity history, and payment history) so that we can help you. We use artificial intelligence tools to help provide first-line support. These tools may access this information in order to respond to you and to operate, secure, and improve our support service, and where they are provided by third parties, those providers are required to act only on our instructions and are not permitted to use your information to train their models. If you contact us through a messaging service, that service’s own privacy policy also applies to your use of it.
Sharing with facility operators
When you link your account at a participating facility, the operator of that facility can see your session activity at their venue. Separately, your personal details may be shared with facility operators for marketing purposes if explicit permission was granted during the user registration process. This permission may be revoked at any time by contacting us by email via privacy@greatdetail.com. We never include children’s accounts in this sharing (see Children’s Privacy below).
Lawful Bases for Processing (UK and EEA Users)
Where UK or European Economic Area (“EEA”) data protection law applies, we rely on the following lawful bases: performance of a contract (to create and administer your account and to provide the Services you request); consent (for marketing communications, push notifications, sharing your details with facility operators, and where required for children’s accounts); legitimate interests (to improve and secure our Services, prevent fraud, and understand how our Services are used, balanced against your rights and interests); and legal obligation (for example, tax and accounting requirements or responding to valid legal process). Where we rely on consent, you may withdraw it at any time.
Children’s Privacy
GD recognises the privacy interests of children and we encourage parents and guardians to take an active role in their children’s online activities and interests.
We ask for your date of birth and country when you register so that we can apply the protections required in your country. In some countries, users below a certain age (for example, under 13 in the United Kingdom and the United States) require the verifiable consent of a parent or guardian before they can create an account and before we collect or use their personal information. Where parental or guardian consent is required, we will not create the user’s account, will not collect or use their personal information beyond what is necessary to seek that consent, and will not provide access to our Services until verifiable consent has been granted.
We do not knowingly collect personal information from users who require parental or guardian consent without first obtaining that consent. If we learn that we have collected such information without the required consent, we will take steps to delete it.
Obtaining parental or guardian consent
Where consent is required, we ask the user to provide the email address of a parent or guardian. We use that email address to send the parent or guardian a consent request that describes the information we collect from children, how we use it, and our disclosure and retention practices. The parent or guardian can then review, approve, or deny the request through our online parental controls. If the request is approved, the account can be created and used. If it is denied or not completed within a reasonable period, the account will not be created and we will delete the information collected in connection with the request, including the parent or guardian’s contact details. We use a parent or guardian’s contact details and account solely to seek and manage consent, provide parental controls, and communicate with them about their child’s account.
Information we collect from children and how we use it
For accounts requiring parental consent, we collect account information (such as a player display name, date of birth, country, leaderboard category, and password) and the technical information described in “Information collected automatically” above. We will not require a child to disclose more personal information than is reasonably necessary to participate in an activity. Persistent identifiers collected from children’s devices (such as device identifiers and IP addresses) are used only to support the internal operation of the Services, such as maintaining functionality, security, and fraud prevention, and are not used for targeted advertising.
Protections for children’s accounts
We apply the following additional protections to children’s accounts:
Display names are validated to prevent children from including identifying information, such as a full real name or an email address.
Where a child’s activity results or achievements appear on leaderboards visible to other users, the entry is limited to the display name, score, and category. The name of the facility or venue is replaced with a generic description that does not identify the child’s location.
Children’s accounts receive only service-related communications, such as account, security, and consent messages. We do not send marketing communications to children.
We do not disclose children’s personal information to third parties for marketing, advertising, or analytics purposes. Children’s accounts are excluded from the facility-operator sharing described above and from any third-party advertising or analytics integrations. We do not sell children’s personal information.
Children’s personal information is disclosed only to service providers who need it to support the operation of the Services (such as cloud hosting and infrastructure providers, platforms that deliver our service communications, and providers of tools we use to respond to support requests), and who are obligated to use it only to provide those services to us and to keep it secure; to the manufacturer of a connected launch monitor, limited to a pseudonymous player identifier (a random code) and the shot data needed to operate the connection; or where disclosure is required by law (see Disclosure below).
Parental rights
A parent or guardian may review the personal information we have collected from their child, direct us to correct or delete it, revoke their consent, and refuse to permit further collection or use of their child’s information, at any time by using our online parental controls or by contacting us at privacy@greatdetail.com. If consent is revoked, we may need to close the child’s account.
Retention of children’s information
We retain children’s personal information only for as long as reasonably necessary to fulfil the purpose for which it was collected, and we do not retain it indefinitely. When it is no longer needed, we delete it or anonymise it in accordance with the Retention section below.
Disclosure
If you enter and/or have won a contest offered by us through the premium Services, we may collect and use your personal information to provide you prizes and achievements and to comply with any applicable tax regulations and/or any obligations we have in connection with the contests.
If you are a contest winner, we may share your player display name, score, and facility location with other users of our Services. For children’s accounts, the facility location is replaced with a generic description as set out above.
We may also disclose your personal information to third-party service providers who assist us in providing Services to you (such as payment providers, cloud hosting and infrastructure providers, analytics and diagnostics providers, artificial intelligence providers that help us deliver customer support, and customer communications and marketing platforms). These service providers are obligated to use your personal information only to provide the services to us.
When you connect a supported launch monitor, we and the launch monitor manufacturer may exchange a pseudonymous player identifier (a random code) and shot data in order to operate the connection. We do not share your name, contact details, or account information with launch monitor manufacturers.
When legally required or at GD’s discretion, GD will cooperate with law enforcement agencies in any investigation of suspicious or alleged illegal activity on our Services. Additionally, your personal information may be shared: (i) in response to legal process (for example, a court order, search warrant or subpoena); (ii) when we have a good faith belief that we are required or permitted to disclose the personal information in response to legal process; (iii) in other circumstances in which GD believes the GD Services are being used in the commission of a crime (including exchanging personal information with other companies and organisations for the purposes of fraud protection and credit risk reduction); (iv) when we have a good faith belief that there is an emergency that poses a threat to the safety of you or another person; and (v) when necessary either to protect the rights or property of GD, including to enforce our policies, or for us to render the Services you have requested.
We will not sell your personal information to any company or organisation, except that we may transfer your personal information to a successor entity upon a merger, consolidation, or other corporate reorganisation in which GD participates, or to a purchaser of all or substantially all of GD’s assets to which the Services relate.
Cookies and Similar Technologies
Our websites and Services use cookies and similar technologies. Some are essential for the Services to function (for example, keeping you signed in), and others help us understand how our Services are used so that we can improve them. Where required by law, we will ask for your consent before setting non-essential cookies. You can manage cookies through your browser or device settings, although disabling some cookies may affect the functionality of the Services. Third-party advertising and analytics technologies are not used on children’s accounts.
Your Rights and Choices
As permitted by applicable law, you may have the right to access, correct, delete, restrict, or object to the processing of your personal information, the right to data portability, and the right to withdraw consent for processing based on consent. To exercise these rights, please contact us at privacy@greatdetail.com. To protect your privacy and security, we will verify your identity before responding to your request. We will respond within one month, or such longer period as applicable law allows for complex requests, in which case we will tell you. Exercising these rights is free of charge, except that, where permitted by applicable law, we may charge a reasonable fee or decline to act where a request is manifestly unfounded or excessive.
If you are in the UK, you have the right to lodge a complaint with the Information Commissioner’s Office (ico.org.uk). If you are in the EEA, you may complain to your local data protection supervisory authority. We would appreciate the chance to address your concerns first, so please consider contacting us before doing so.
US state privacy rights
Depending on where you live in the United States, you may have additional rights, including the right to know what personal information we collect and how we use and disclose it, the right to delete or correct it, the right to opt out of the “sale” or “sharing” of personal information or its use for targeted advertising, and the right not to be discriminated against for exercising your rights. We do not sell personal information for monetary consideration. If any use of advertising or analytics technologies in our Services is treated as a “sale”, “share”, or targeted advertising under the law of your state, you may opt out by contacting us at privacy@greatdetail.com. If we decline to act on a request, you may appeal our decision by replying to our response.
Security
We maintain a written information security programme with procedural and technological measures that are reasonably designed to help protect your personal information from loss, unauthorised access, disclosure, alteration, or destruction. These measures include encryption of data in transit, access controls, and password protection. No method of transmission or storage is completely secure, but we work to protect your personal information in a manner appropriate to the nature of the data we hold.
International Transfers and Where We Store Your Information
Our systems are hosted in data centres located in the United Kingdom, currently provided by Amazon Web Services and Microsoft Azure. Personal information that we collect from you may be transferred to, and stored at, a destination outside the United Kingdom or the EEA, and may be processed by personnel operating outside the UK or EEA who work for us or for one of our suppliers, service providers, or sub-contractors. Where we transfer personal information outside the UK or EEA, we ensure a similar degree of protection by using safeguards recognised under applicable law, such as transfers to countries covered by UK adequacy regulations or EU adequacy decisions, or the use of the UK International Data Transfer Agreement or Addendum and/or the EU Standard Contractual Clauses. Retention
We retain your personal information for as long as your account is active and as necessary to fulfil the purposes outlined in this Privacy Policy. The criteria we use to determine retention periods include: the period for which we need the information to provide the Services to you; whether we are subject to a legal, regulatory, tax, or accounting obligation to retain it; and whether retention is advisable in light of applicable limitation periods for legal claims. When we no longer need your personal information, we delete it from our systems and records or take steps to properly anonymise it so that you can no longer be identified from it. Children’s personal information is subject to the retention commitments in the Children’s Privacy section.
Automated Decision-Making
We do not use your personal information to make automated decisions that produce legal or similarly significant effects about you.
